Established Community Association Management company in Bellevue seeking an experienced full time portfolio manager for condominium and homeowner associations in the greater Seattle area.

This Community Association Manager role will include:

  • Attending and conducting Board of Director meetings;
  • Produce monthly actions lists;
  • Prepare requests for proposals;
  • Present bids/proposals to the Board;
  • Process Invoices;
  • Quality control of vendor work and contractor supervision;
  • Work closely with Board of Directors and committees;
  • Preparation and presentation of budgets;
  • Performing all other functions associated with property management for a select portfolio of
  • Condominium and Home Owner Associations.

Job requirements:

Preferred candidate will have/be:

  • Minimum of one year of Association Management experience;
  • Ability to multi-task on a variety of projects;
  • Ability to work with a variety of people including Boards, owners and vendors;
  • Working knowledge of Association Documents and Washington Condo Act;
  • Computer skills, including working knowledge of Outlook, Word, and Excel and association management software is required.
  • Working knowledge of accounting principles, budget preparation and tracking;
  • Attention to detail and follow through on a variety of projects;

Building Engineer

A downtown landmark high-rise community and retail complex with amenities including an indoor swimming pool and spa, a fitness center, a guest suite, a club room, a business center, outdoor terrace, and 24 hour staffed concierge desk. Desired Qualifications

  • High rise Facility Maintenance experience~ 5 years
  • Certified Pool Operator- Daily chemical testing and monitoring/ spa maintenance
  • Perform maintenance work as necessary including shared mechanical operations, responding to Work Orders, interior and exterior common area painting, sheetrock repairs, spa maintenance, exercise equipment maintenance, and other building amenities.
  • Work with the General Manager to create Requests for Proposals for service contracts, and administer bidding to ensure appropriate price and service levels. Recommend cost-effective alternatives whenever possible. Manage Special Projects including specification development and solicitation of proposals, schedule and oversee on-site work, and assisting with performing designated scope of work.
  • Maintain maintenance records, equipment inventory, supplies inventory through the General Manager, including Preventative Maintenance Schedules, and Special Project Tracking.
  • Develop and implement plans to respond to emergencies. This includes being on call for building emergencies.
  • Assist the General Manager with the preparation of monthly reports of relevant activities.
  • Communicate effectively and professionally with owners.
  • Familiarity with all building mechanical systems including:
    • Hydronic loop: check pressures, motors.
    • Domestic water and fire supply:
    • Sprinkler control room: pressures, fuel transfer.
    • Sewage ejection pumps.
    • Storm water tanks: operate motor, auto dialer.
    • Emergency generator: operate, transfer fuel.
    • CO sensor control & footing pumps: operate.
    • Emergency generator monthly testing.
    • Ability to shut the water off to units and sections of the building.
    • Have knowledge of basic electrical troubleshooting.
  • Must be computer literate
  • Must be able to earn and maintain required professional certifications and licenses, as may be required by law if necessary.
  • Adhere to the highest standards of customer service and professionalism.
  • 40 hours a week M-F

  • Ability to meet deadlines and address time-sensitive issues

EMPLOYEE OWNER POSITION PURPOSE:

The Community Support Specialist is responsible for providing exceptional customer service and quality administrative support to both internal and external clients, including, but not limited to: partnering with Community Association Managers, performing special projects/research, and various coverage (i.e. phone).

JOB DUTIES AND RESPONSIBILITIES:

  • Respond to phone inquiries using information/guidance from association manuals, CC&Rs, Rules & Regulations, and other administrative documents
  • Partner with Community Association Managers (CAM) to return calls on their behalf/check voicemail in accordance with guidelines determined by the VP of Operations and VP of Community Management
  • Receive and prepare Architectural Review Applications (ARC) for evaluation by association Board of Directors/Committee(s)
  • Process approval/denial of ARC applications, send to homeowners, and file accordingly
  • In coordination with CAMs, setup and maintain association information (Call To Action text, CC&R text, etc.) in SmartWebs
  • Create compliance letters that are not generated by a site review (AKA ‘one-offs’)
  • Manage work order processes, including entry, follow-up, and closing work order tickets
  • In CAM absence, oversee basic emergency vendor needs (i.e. contacting a plumber for an emergency association need)
  • Program gates, remotes, and other access devices
  • Coordinate and file association clubhouse reservations
  • Prepare annual report renewal and manage renewal process, including obtaining Board signatures and maintaining reporting schedule/deadlines
  • Manage annual tax filing process per guidelines and due dates
  • Prepare monthly abbreviated manager report for the Board
  • Prepare letters, memos, forms, and reports for homeowners, Board members, and vendors
  • Update and print correspondence summaries as well as log-in proxy ballots for annual, turnover, and budget meetings
  • Attend periodic Annual meetings to assist with balloting and check-in, as approved by your Supervisor
  • Assist CAMs with meeting follow-up action items, including compliance letters
  • Assist CAMs with special projects for association needs, including research and assisting with custom administrative work
  • Send Board anniversary cards
  • Maintain Welcome Packet materials for new homeowners and the tracking system; coordinate this process with Accounting team members
  • Prepare notices, newsletters, flyers, and other documents for internal and external needs
  • Box/archive end-of-year documentation
  • Provide periodic relief for the Division Receptionist (if the Receptionist is absent, during lunch periods, etc.)

QUALIFICATIONS:

  • High School Diploma (or equivalent); Associate’s Degree preferred
  • Proficiency in administrative support – generally between 1-4 years, depending on the position level
  • Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus
  • Conflict resolution skills
  • Ability to meet deadlines and address time-sensitive issues
  • Superior multi-tasking skills
  • Excellent written and verbal communication
